Send questions to your organization or your team by scheduling one or several pulses. A pulse is a set of questions put together.
To activate a pulse follow these instructions.
Before scheduling, have a look at the questions in the pulse
Start with having a look at the pulse under Questions > Pulses, try out the questions and have a look at what time they are set to go out. Every question in a pulse has its own time setting, which makes it possible for you to send all questions at once or a few at one day and a few another day. Open a pulse and look below each question to see what time it is set to.
Please note that the time of the questions in the &frankly pulses can't be adjusted, but you can edit the time in your own pulses. If you want to edit the time setting for the questions in your own pulse, hold your pointer over the question and click on the clock-icon to edit the time. We also recommend you to have a look at the pre-defined frequency of the pulse. The frequency can be used if you want to ask the same questions for a specific period and will make the scheduling easier for you. If you want to ask the questions once, you can simply schedule a single pulse for a specific week.
Schedule the pulse
When you are ready to activate the pulse, go to Questions > Scheduling. The scheduling gives you an overview of coming pulses, see it as your &frankly calendar.
1. Select a target group in the menu on the top of the page. Administrators can see all groups while managers can see and schedule pulses for the groups that they are the owner of.
2. "Add new pulse..."
Click "Add new pulse..." and choose the pulse that you want to activate. When you have added a pulse, a timeline for this pulse appears. Pulses are scheduled weekly and the gray boxes symbolize weeks. Click on the week that you would like to activate or start the pulse.
3. Choose a period
You can schedule the pulse for a specific week or repeat during a period of time. If you want to schedule the pulse for a single week, you can just select that week in the "Period setting".
If you want the pulse to be repeated during a period, select a start date and an end date of the pulse. Note that the frequency is pre-defined in the pulse settings, Questions > Pulses.
Please note that pulses are always scheduled weekly, which means that the start day will always be Monday and the end day will always be Sunday. What day and time of the week the questions will be sent is determined by its time settings. Starting a pulse on Monday and ending it on a Sunday is standard in &frankly and can't be customized. 4. Results access
When you have decided on a frequency, the next step is to set the results access which determines what the managers and users will see from the results. This setting is specific for each and every pulse and can be adjusted anytime.
The most common, and also our recommendation, is to allow the users to see their own individual results and the results from their group and allow managers to see their own individual results, the group they are the owner of and have viewing rights to and the target group. The target group is the group that you have selected in the group menu on the scheduling page. Administrators in &frankly can always access the results for all groups in the tool.
If you have decided that the managers should get result emails or notification, and you allow them to see the results for their group in these settings, they will get an email or notification on Monday morning with the results for the group they are the owner of (managers with viewing rights to a group will not get a result email). If you have decided that the users should get results email or results notifications, they will get an email or notification on Monday morning for the group they are a member of.
Please note that if you change these settings after a pulse is closed, no results emails or notifications will be sent.
5. Alert Access
If you have Alerts configured to your questions, you have to activate the Alerts visibility when you schedule the pulse to make sure the Alerts are active and will be triggered. Read more about Alerts by clicking Here.
6. Preview the scheduled pulse
Save your scheduling and the questions will be sent accordingly to your chosen settings! Click the marked week in preview to check the questions and when they will be sent out.
